Moving a law firm onto ActionStep: what the migration and build actually involve
A wave of Australian law firms are moving onto ActionStep — many of them FilePro firms transitioning ahead of that platform’s move to ActionStep. For a lot of these firms, it’s the first time they’ve changed practice management systems in years, which means two things are happening at once: a data migration they can’t afford to get wrong, and a chance to build the client experience their old system never gave them.
We work on both sides of that. This is what the migration and the build actually involve — written from real (anonymised) experience, not a sales brochure.
The migration: get the data right or nothing else matters
Moving years of matters, contacts, documents and financial records from one practice system to another is the part firms underestimate. It’s not a copy-paste. Done properly it involves:
- Mapping the old structure to the new one. Matter types, custom fields, document categories and workflows rarely line up one-to-one between systems. Someone has to decide, deliberately, how the old world maps into ActionStep’s — and ActionStep’s strength is exactly that it handles custom matter types well, so the mapping is where the value is captured or lost.
- Preserving the financial and compliance record. Legal practice runs on trust-account discipline and an auditable history. A migration has to carry that across intact — the integrity of the financial and matter record is non-negotiable, and it’s checked, not assumed.
- Validating before you commit. The safe pattern is to migrate into a controlled environment, verify that the data landed correctly and completely, and only then cut over — never a blind switch on a Friday and hope for the best.
This is careful, methodical work, and it’s worth treating as a project in its own right rather than an afterthought bolted onto a software subscription.
The opportunity: build the client experience the old system couldn’t
The upside of a migration is that you’re not just moving — you’re upgrading. ActionStep is workflow-flexible and exposes real integration surface, so once a firm is on it, there’s room to build what a legacy system never offered:
Branded client portals. A secure portal where clients see their matter’s progress, documents and next steps — reading live from ActionStep, presented as your firm. For a practice competing on client experience, that’s a genuine differentiator, and it’s the kind of real-time portal ActionStep’s architecture genuinely supports.
Structured client intake. Replacing the email-and-phone intake scramble with a structured flow that captures what’s needed and creates the matter cleanly in ActionStep — without breaking trust-account or conflict-check discipline.
Document automation using your actual templates. Generating the firm’s real documents from matter data, rather than re-keying, so the templates you already trust are the ones the system uses.
Integration with the rest of the stack. Connecting ActionStep to accounting, e-signature and the other systems the firm runs, so the practice operates as one joined-up whole rather than a set of islands.
Where the responsibility sits
A necessary note for a regulated profession: the legal, trust-account and client-confidentiality obligations around all of this sit with the firm — always. Our role is the technology that supports them: Australian data residency, encryption, audit logging, and access controls appropriate to legal client data, engineered in from the start. We build to support the firm’s professional and regulatory obligations; we don’t advise on the law or the rules themselves — that’s the firm’s domain, and it stays there.
If you’re making the move
If your firm is moving onto ActionStep — from FilePro or anything else — the migration is worth doing carefully, and the moment right after it is the best time to build the client-facing layer while everything’s already in motion. We help with both: the careful data migration, and the portal, intake and integration work that turns a new practice system into a genuinely better experience for your clients.
We build for Australian law firms across ActionStep and the other major platforms — and we’re happy to talk through what your migration and build would actually involve before you commit to anything.
