Workshop Software integrations: beyond job cards and Xero sync

Workshop Software is the platform a lot of Australian mechanical and automotive workshops run their floor on — general mechanical, performance, restoration, and specialty 4x4 shops across Australia and New Zealand. It’s built for the workshop-floor workflow: booking, job cards, parts ordering, time tracking and invoicing, with native Xero sync and a public REST API. For the core job, it does what a workshop needs.

Where workshops ask us to build is at the edges the platform wasn’t designed to reach — the customer-facing and ecommerce-connected parts that turn a well-run workshop into a genuinely differentiated one. And because Workshop Software exposes a REST API, there’s real room to build.

The floor is handled; the customer experience and the storefront aren’t

Workshop Software keeps the bay running. What it doesn’t do is present a premium booking and build experience to customers, or connect cleanly to the online store many workshops now sell through. That’s the bespoke layer.

Customer-facing booking with vehicle-aware fitment logic. A generic “book a service” form is fine for an oil change. It falls apart the moment fitment matters — when what can be booked depends on the customer’s specific vehicle. Booking that understands the vehicle and only offers what actually fits, then writes the job back into Workshop Software, removes a huge amount of back-and-forth and wrong bookings. For performance, 4x4 and restoration shops especially, this is the difference between a booking system and a lead-loss machine.

Branded build-progress portals. Specialty workshops — a performance build, a restoration, a full 4x4 fit-out — have customers who are emotionally and financially invested in a job that runs for weeks. A branded portal where the customer follows their build’s progress, pulled from Workshop Software, turns anxious “how’s it going?” calls into a premium experience that customers rave about and refer.

Ecommerce and parts-data integration. Workshop Software is a natural fitting-bay handoff target for stores selling fitment-dependent products — 4x4 accessories, performance parts, restoration components. Connecting an ecommerce store to the workshop so an online purchase can flow into a fitment booking (with the right vehicle and parts context) closes the loop between “bought online” and “fitted in the bay” that most workshops handle manually today.

The pattern: keep the floor system, build the experience on top

The same principle applies here as everywhere: let Workshop Software do what it’s good at — running the floor and syncing the books to Xero — and build the customer-facing and ecommerce-connected layer on top via its API, rather than trying to force the core platform to be something it isn’t.

For a workshop competing on more than price — where the booking experience, the build journey, or an online store are part of how you win work — that layer is where the money is. Customers never see the job-card system; they see the booking, the progress updates and the store you’ve built around it.

When it’s worth building

Custom work on Workshop Software earns its keep when fitment complexity is causing wrong or lost bookings, when you run long specialty jobs where customer visibility matters, or when you’re selling fitment-dependent products online and the handoff to the bay is manual. A straightforward general workshop happy with native booking and Xero sync may not need it — and we’ll tell you honestly if that’s you.
