ShiftCare integrations: what to build once the roster is sorted
ShiftCare has earned strong adoption among Australian NDIS support coordinators, Supported Independent Living (SIL) providers and aged-care operators for a good reason: it’s genuinely good at the thing it’s built for — rostering, support-worker scheduling and timesheets. If getting the right worker to the right shift is your daily grind, ShiftCare handles it well.
What providers ask us about isn’t the roster. It’s everything downstream of it — the steps between a shift being delivered and the business being paid, reported on, and trusted by participants and families. That’s where a custom layer on top of ShiftCare tends to pay for itself.
The roster is the start of the workflow, not the end
Once a shift is delivered, a chain of things has to happen: the delivered support has to become a claim, the claim has to be right, the participant and their family want to know what’s going on, and management wants to see it across every site. ShiftCare captures the roster and timesheet cleanly; the further along that chain you go, the more manual glue tends to creep in. Custom work targets exactly that glue.
Claim automation for NDIS submission. Turning delivered, rostered supports into correctly-coded NDIS claims is where money leaks — through delay, mismatched line items, or rejected claims that someone has to chase. A custom automation layer reads what ShiftCare already knows about delivered shifts and reduces the manual handling between service delivery and payment, flagging the exceptions before they cost you.
Branded participant and family portals. Families of participants want visibility — who’s coming, what’s been delivered, how budgets are tracking. A portal that reads live from ShiftCare but carries your brand turns that from a stream of phone calls into a calm, self-service experience, and it signals a level of professionalism that wins and keeps referrals.
Reporting across multiple deployments. Providers running several sites or programs on ShiftCare often can’t get the single consolidated view leadership needs. A reporting layer that pulls across deployments answers the board-level questions the platform’s standard reports don’t.
Payroll and accounting integration. Connecting ShiftCare’s timesheet reality to the payroll and accounting systems the rest of the business runs on — beyond the default connectors — so hours worked, wages paid and revenue claimed all reconcile without spreadsheets.
Extending the support-worker mobile experience. Where a provider needs mobile features specific to their model of care that go beyond the standard app, those can be built to sit alongside ShiftCare rather than fighting it.
Choosing the right platform for the job
Part of an honest conversation is acknowledging that ShiftCare is rostering-first. Broader care-management platforms like Lumary or Brevity carry more of the wider workflow natively. Which is “right” depends entirely on your operational mix — a rostering-heavy SIL provider and a multi-program enterprise provider have genuinely different needs. We won’t tell you to switch platforms to suit a build; we’ll build for the platform that fits how you actually operate.
The data expectation
As with any build touching NDIS participant information, privacy and Australian data residency are engineered in from the start — encryption, audit logging and access controls appropriate to participant data, in line with the Privacy Act and the NDIS Quality and Safeguards Commission’s expectations. The provider’s regulatory obligations remain the provider’s; our role is the technology that supports them.
