Mindbody
integration & API.
Global fitness, wellness and beauty platform — we replace the default website widget with a custom-branded booking flow, lift retention beyond Mindbody's defaults, and help businesses move on cleanly when Mindbody is no longer the right fit.
What is Mindbody?
Mindbody in plain English.
Mindbody is a US-built (founded 2001, owned by Vista Equity since 2019) cloud-based business management platform for the fitness, wellness and beauty industries. It bundles class scheduling, membership and contract billing, online booking via website widget and consumer app, payments processing (Mindbody Payments), basic marketing automation, and reporting. Strongest for class-led businesses (boutique fitness, yoga, pilates); in our experience, fits class-led businesses more naturally than appointment-led or hybrid recovery/wellness ones that don't map cleanly to the class-centric model. The Mindbody consumer app is a discovery surface for studios in a member's area — worth understanding how that fits with your member-acquisition strategy.

Why custom?
Beyond the default Mindbody integrations.
Mindbody is the dominant global management platform for boutique fitness, yoga, pilates, day spas, wellness clinics and recovery studios — with broad Australian adoption. Its core scheduling and billing are reliable; the parts where studios most commonly ask us to extend or replace functionality are the website widget, marketing automation, reporting and member app. We build the bespoke layer Mindbody studios actually need: a custom-branded booking experience on your own website powered by the Mindbody API, retention automation that goes beyond the built-in tools, custom reporting, and — when the platform itself is the wrong fit — a phased migration to Hapana, Glofox, Cliniko or another platform that suits the business shape better.
What we build with Mindbody
Common Mindbody integrations.
Custom-branded website with booking, schedule, memberships and account access powered by the Mindbody Public API — replaces the default widget
Branded mobile app on Mindbody data that gives your studio its own member-facing surface
Retention automation tied to attendance, lapse and milestone events that go beyond what the built-in tools provide out of the box
Custom reporting and dashboards consolidating Mindbody data with finance, marketing and CRM systems
Lifecycle pipelines pumping Mindbody events into GoHighLevel, HubSpot, ActiveCampaign or Mailchimp via n8n for marketing and pipeline reporting
Hybrid booking logic for businesses that combine classes, appointments and packages — common for recovery studios, wellness clinics and physio practices
Multi-location platform extending Mindbody for studio chains and franchise operations
Migration support when Mindbody is the wrong fit — phased moves to Hapana, Glofox, Mariana Tek or clinical PMS platforms like Cliniko or Nookal without paralysing the business
How a Mindbody project usually unfolds
How a Mindbody project usually unfolds.
- 01
Audit the current setup
Half a day with the studio team to map the actual operational shape — class types, membership structures, payment flows, the marketing automations already wired, and where reception and staff are spending time. Out of that we agree what to extend and what to replace.
- 02
Design the API and identity model
API access set up against your Mindbody account, with the data model decided: which entities are read-only, which are written back, how the identity of a member is matched across your branded surfaces and Mindbody itself. Payment processor decisions get made here too.
- 03
Build the custom layer in phases
Highest-pain piece ships first — usually the branded website with booking, then retention automation, then reporting. Each phase is shipped, reviewed, and live before the next starts, so the studio is feeling the value as we go.
- 04
Handover with documentation and a maintenance arrangement
Staff training on the new surfaces, a runbook covering the integration points and what to check when something looks wrong, and an agreed support arrangement for the months after launch so nothing sits broken.
Typical investment $15K–$80K depending on scope
Typical timeline 6–14 weeks to first delivery
What you can expect
What a Mindbody integration usually delivers.
A booking experience that matches your brand
Members stay on your website from search to confirmation. The booking flow looks and behaves like your studio, not like a generic Mindbody embed in an iframe.
Retention automation that responds to actual behaviour
Attendance patterns, lapse signals and milestone events trigger member-specific sequences. The marketing automation reaches places Mindbody's built-in tools don't.
Reporting that answers the questions you actually have
Per-class profitability, member lifetime value by acquisition source, retention by cohort, marketing attribution. Dashboards your studio team can act on without exporting to Excel.
A clear migration path if Mindbody stops fitting
If the platform becomes the wrong fit, the same team runs a phased move to Hapana, Glofox or a clinical PMS without paralysing the business. The custom layer survives the platform change.

How we build
Production-grade.
Not Zapier in a trench coat.
Every Mindbody integration we ship handles failure properly: idempotent jobs, retry logic, dead-letter queues for unrecoverable cases, and observability so you can see exactly where data is at any moment.
Tested
Real test suite, real edge cases. Not just "it worked once."
Observable
You see what is happening — events logged, errors surfaced.
Maintainable
Documented, version-controlled, handed over properly.

FAQ
Common questions about Mindbody integration.
Does Mindbody have an API?
Yes — Mindbody has a reasonably mature Public API (REST, OAuth and API key authentication) covering clients, classes, schedules, memberships, bookings, payments and reporting endpoints. Most of the custom builds we do for Mindbody studios sit on top of this API.
Why replace the Mindbody website widget?
The default widget is functional; premium studios often want a branded booking flow that matches the rest of their site — most end up with a site that looks great everywhere except the booking page. We build custom booking flows directly on your website using the Mindbody API, so customers stay on your brand from search to confirmation rather than dropping into a templated Mindbody experience.
Can I use my own payment processor instead of Mindbody Payments?
Mindbody has expanded the role of Mindbody Payments within the platform. Where the business model justifies it, we layer Stripe (or another processor) on top for specific transaction types — typically for retail, packages, gift cards or high-value memberships where the Mindbody Payments fee structure isn't always the most economical option. Class-by-class billing usually stays on Mindbody Payments unless the business migrates platforms.
My business does appointments and memberships, not classes — is Mindbody still the right platform?
Mindbody can handle appointment-led businesses but it was built around the class-studio rhythm and the fit is often awkward for recovery studios, wellness clinics, day spas with treatment focus, or physio/massage practices. We help businesses in this position decide whether to extend Mindbody with custom logic that addresses the fit gap, or migrate to a platform that suits the business shape — typically Hapana for hybrid fitness-and-services, or Cliniko / Nookal for treatment-led businesses with clinical record requirements.
Should I migrate off Mindbody to Hapana, Glofox or another platform?
It depends on what's actually broken. If the website and reporting are the main pain, custom work on top of Mindbody is faster and cheaper. If the platform's class-centric model doesn't match how the business runs — appointment-led services, customer journey that doesn't fit the class model, payment processor switching cost becoming material — migration is the better answer. We help businesses make that call honestly before committing to either path, and run phased migrations when the call is to move.
How does Mindbody compare to Hapana, Glofox and Mariana Tek?
Mindbody has the largest global ecosystem and consumer reach; studios weighing it tend to ask us about cost at scale, switching cost between processors, and how its consumer app fits with their member-acquisition strategy. Hapana is Australian-built with strong local support and a more modern interface, particularly competitive for boutique fitness. Glofox (now ABC Glofox) has a stronger member-app focus and works well for mid-market studios. Mariana Tek targets the premium / high-end boutique market, particularly cycling studios. For recovery / wellness businesses combining treatments and memberships, a clinical PMS like Cliniko or Nookal is sometimes a better fit than any of the fitness-focused platforms.
Can I keep my existing customer data when migrating off Mindbody?
Yes — Mindbody supports CSV exports of customers, memberships and historical bookings, and we extract additional data via the API where the standard exports fall short. The harder part of migration is usually not the data — it's the customer behaviour change (members used to the Mindbody consumer app have to learn a new booking surface) and staff retraining. We sequence migrations to handle both alongside the data move.
